Privacy Policy: How NovaPep Handles Your Information
Draft for review. This privacy policy is a working draft, and the business needs to test it against the systems and suppliers it really uses, ideally with a legal adviser looking it over, before relying on it.
NovaPep (ABN ) gathers a limited amount of personal information so we can accept orders, send parcels and respond to enquiries. Our handling of that information is governed by the Privacy Act 1988 (Cth), which includes the Australian Privacy Principles (APPs). Below we set out what we keep and why, who else has access to it, and how you can see it, correct it or complain about it.
1. What Personal Information We Keep
The information we hold depends on how you interact with us, and may include the following.
- Identity and contact details. Your name, phone number and email address.
- Delivery details. The street address your parcel goes to and, where you provide one, a laboratory or organisation name.
- Order history. The items you purchased, the date, the amounts charged and the shipping option you selected.
- Payment details. We take payment by PayID and bank transfer only. From our bank statement we can see the name on the account that paid, the amount and the reference you entered. We will never request card numbers, passwords or internet banking logins.
- Messages. Emails and contact form submissions, along with any photos attached to a claim.
- Technical information. While you browse the site, routine details such as your IP address, browser type and the pages you visit may be recorded.
2. How the Information Reaches Us
Nearly all of it is supplied directly by you, whether at checkout, through the contact or order tracking forms, or over email. Technical information is gathered automatically by the website and the company that hosts it.
3. What We Use It For
- Processing, packing, posting and tracking orders.
- Matching payments received to the right orders, and paying out refunds.
- Sending order confirmations, dispatch emails containing tracking numbers, and certificates of analysis when asked.
- Handling enquiries, claims and returns in line with our refund policy.
- Confirming that buyers are 18 or older, spotting fraud, and making sure orders comply with our research use policy.
- Keeping the records that tax and other laws require.
We send marketing emails only to people who have agreed to them. Every marketing email has an unsubscribe link, and unsubscribing has no effect on emails about your orders.
4. Who Else Receives It
Personal information is disclosed only when running the store requires it or when the law demands it. Recipients can include our bank, so payments can be received and returned, Australia Post, so your parcel can be delivered, the companies hosting our website and email, and professional advisers such as an accountant. We may also pass information to government agencies or law enforcement where the law requires or authorises it. Personal information is never sold or rented by us.
Data Held Outside Australia
Certain technology providers may keep data on servers located overseas. In that case, we take reasonable steps to make sure the provider handles the information consistently with the APPs. [Business to name the providers and countries concerned.]
5. Keeping It Secure and How Long We Keep It
We store personal information on password-protected systems, and access is limited to people who need it for their work. The website runs over an encrypted HTTPS connection. We keep order records for as long as our tax and legal obligations require, and after that we take reasonable steps to delete or de-identify them.
Should a data breach be likely to result in serious harm, we will inform the affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.
6. Cookies and Browser Storage
Your cart, and any orders placed from your browser, are saved in that browser's local storage so they are still there on your next visit. Clearing your browser data deletes them. [Business to add any analytics or advertising tools here if they are introduced later.]
7. Staying Anonymous
Browsing the site and asking general questions do not require you to identify yourself. To send you an order, however, we need your name, a delivery address and a way to reach you.
8. Seeing and Correcting Your Information
You can ask for a copy of any personal information we hold about you, or ask us to correct anything inaccurate, incomplete or out of date. Send the request to order@novapepaus.com. We may first need to confirm who you are, and we will reply within 30 days. If we refuse a request, we will explain the reasons in writing.
9. Making a Complaint
If you think we have mishandled your information or breached the APPs, please email order@novapepaus.com first so we have the chance to put it right. If you are not satisfied with our reply, you may complain to the OAIC at oaic.gov.au.
10. Changes to This Policy
This policy may be updated as the business evolves. Whatever version appears on this page is the one in force.
